  • What do conference speakers most commonly wish event organisers understood about the speaker experience? Based on feedback collected through Canapii's post-event survey data across hundreds of conferences, three themes come up consistently. First, briefing quality matters more than briefing length. A speaker who receives a two-page document covering the audience profile, session objectives, room setup, AV, run of show, and the production contact number is better prepared than one who has exchanged 23 emails covering the same ground less clearly. Second, late changes are manageable if communicated immediately. A programme change that reaches a speaker three weeks before the event requires a minor adjustment. The same change communicated 48 hours before requires a significant one. Speakers consistently identify late-arriving information as the primary source of event-day anxiety. Third, the confirmation experience sets the tone for the whole relationship. A speaker who receives a clear, well-designed confirmation of their session details forms a different expectation of the event than one who receives an ambiguous email with a link they cannot access. The speaker experience before event day is a direct reflection of the event's organisational quality. Speakers notice. Audiences feel the difference. Accessibility at events has historically been treated as a checklist: step-free venue, hearing loop, dietary accommodations. When specified by clients, these were delivered. When not specified, they were often underinvested. The move toward accessibility as a standard requirement reflects a broader shift in how organisations evaluate the events they fund.   • Why do some event sponsors renew year after year while others quietly decline after a single edition? Relationships matter. But Canapii's analysis of sponsor renewal data suggests the most reliable predictor of renewal is not how much the sponsor liked the organiser. It is whether they could prove to their own organisation that the investment was worthwhile. Five things that make the evidence case for sponsor renewal: Specific lead data, not general attendance figures. A count of badge scans is not a lead. A record of who was scanned, their role, company, and a qualifier note from the stand is a lead. Post-event report within 48 hours. Reports delivered a week after the event are read less carefully than those that arrive while the event is still present in the sponsor's memory. Comparison to previous years where available. Sponsors who can see their reach growing year on year have a compounding argument for continued investment. Proactive attribution. If a deal closed in the three months after an event by someone the sponsor met there, that attribution should be surfaced explicitly. Most sales teams do not connect these dots without prompting. The renewal conversation starts six weeks after the last event, not six weeks before the next one.
