About the Opportunity


Globeia is a fast-growing global identity verification and document services company operating across the US, UK, Canada, Australia, and Europe. We help individuals and businesses navigate complex document authentication, apostille, and legalization processes, and we are expanding our Washington, D.C. team.


We are looking for a reliable, detail-oriented Administrative Coordinator to be the operational backbone of our D.C. office. If you take pride in doing things right, enjoy owning a process, and want to be part of a company that is scaling globally, we want to hear from you.


What You'll Do:


Document Submissions Log and track drop-offs and pickups at government offices, and keep the team updated on status throughout.


Authentication and Legalization Submit documents for apostille, notarization, and embassy legalization. Verify paperwork is complete before submission and resolve any rejections or issues that come up.


Courier and Mail Operations Send and receive packages via DHL, FedEx, and USPS. Prepare shipment labels, track deliveries, and report updates to the team.


Records and Filing Scan, file, and organize documents with precision. Keep files complete, clearly named, and easy to access.


General Office Support Assist with data entry, supply management, and day-to-day administrative tasks as needed.


Who You Are

You are dependable and your team can count on you to show up and follow through. You are detail-oriented and catch errors before they become problems. You are comfortable with process-driven work and find satisfaction in doing routine tasks consistently and correctly. You understand the sensitivity of handling official documents and are comfortable making regular trips to government offices around D.C.


Requirements

High school diploma or GED. Some prior office, administrative, or clerical experience. Comfortable with computers, email, and standard office software. Valid driver's license. Must be authorized to work in the United States.
