About the Role
We're looking for a Client Experience Associate to help create an exceptional experience for our clients while supporting our advisors and office operations. This role combines administrative support, scheduling, client hospitality, office coordination, and marketing support. You'll help keep our team organized, support our advisors, and ensure clients feel welcomed and cared for every step of the way.
Financial services experience is helpful, but not required. We're looking for someone who is highly organized, professional, dependable, and eager to learn. This is an excellent opportunity for someone looking to build valuable skills in client service, operations, and/or marketing.
What You'll Do
Client Experience & Hospitality (40%)
Coordinate thoughtful client touchpoints before, during, and after meetings
Prepare meeting materials and ensure every client meeting—virtual or in person—is polished and seamless
Welcome clients and visitors to the office with warmth and professionalism
Coordinate client communications and follow-up
Maintain client gifting, hospitality, and celebration calendars to ensure meaningful client touchpoints throughout the year.
Send handwritten cards for birthdays, milestones, condolences, congratulations, and other life events
Assemble and mail client packets, gifts, and correspondence
Support client appreciation events and other special experiences throughout the year
Help ensure every client interaction reflects The Jamrog Group's commitment to exceptional service
Scheduling & Administrative Support (40%)
Manage advisor calendars and book client appointments
Manage incoming e-mails, phone calls, and client follow-up communications
Support advisors with meeting preparation and follow-up
Process meeting notes and maintain accurate client records
Assist with routine client service requests, including beneficiary updates, address changes, and account maintenance paperwork
Help clients with account access and basic technology questions
Office Operations (10%)
Manage office supplies and day-to-day office needs
Help maintain an organized and professional office environment
Coordinate incoming and outgoing mail and packages
Support special projects and firm initiatives as needed
Marketing Support (10%)
Create basic Canva graphics and presentations
Assist with social media, email marketing, and client events

Qualifications
Required:
Strong organizational and communication skills
Professionalism and attention to detail
Proficiency with Microsoft Office (Outlook, Word, Excel)
Ability to manage multiple priorities
Comfort with technology and learning new systems
Helpful, but not required:
Experience in customer service, hospitality, administration, scheduling, or office support
Experience with Calendly
Familiarity with Canva

Our Work Environment
This is an in-person position based in our Holyoke office.
Many members of our team work in a hybrid or fully remote environment, so you'll regularly support both in-office and remote teammates through Microsoft Teams, Zoom, phone, and email. The right candidate is comfortable working independently, communicating proactively, and helping keep everyone organized and connected.
Compensation & Benefits
$40,000-$45,000 annual salary based on a full-time, 40-hour-per-week schedule
