Every company loses money to procurement they never see or see but can't control. The never see part is a manager who always uses "his guy" for supplies, 15 - 20% over market, three purchases at a time so it stays under the radar. It's a vendor contract that auto renewed at last year's price nobody rechecked. The "see but can't control" part is worse. Someone in finance notices the pattern, flags it, and it still goes through, because the request came from someone senior, or the deadline was tight, or there was no clean way to stop it without becoming the department that says no to everyone. Both come down to the same gap: procurement teams are buried in requests, and the checks that would catch this are manual, so they only happen after the money's already gone. I've been building a platform to close that gap: a self-serve procurement platform where AI double checks every request as it happens, flags anything that deviates from best practice, documents everything, and alerts management before the PO goes out, not in next quarter's audit. Curious how others here handle this. Is it a visibility problem for you, or a control problem? #Procurement #B2B #AI #SupplyChain

Ricardo, this is exactly where the conversation is headed. Speed may open the door, but trust is what gets a solution adopted. I see the same issue emerging in water infrastructure, stormwater, AI, and environmental performance. It is no longer enough to say a system saves time, reduces runoff, improves sustainability, or offsets impact. The serious question is: Can you prove it? That means showing where the data comes from, how performance is measured, where human review remains in place, how exceptions are handled, and whether the result can be audited. That is the direction we are focused on with Parjana Engineering, Inc., HydroCoin, and x402GAL. Parjanaengineering.com is focused on real-world infiltration infrastructure. Hydrocoin.com is focused on Monitoring, Reporting, and Verification, where one HydroCoin represents one verified gallon of stormwater infiltrated, reviewed, attested, and recorded. x402gal.com extends that idea into the AI economy, where automated systems should not only move faster, but also account for the real-world resources they consume. The future procurement winner will not be the vendor with the flashiest demo. It will be the vendor that can clearly explain the controls, the data, the verification process, the audit trail, and the real-world implementation path. Trust is becoming the product.

Vendors, here is where I see the procurement conversation is headed. It will not be enough to say your AI tool “saves time.” Everyone says that. Procurement leaders are going to want to know where the time is saved, what decisions the system is making, what data it uses, where human review stays in place and how the organization avoids creating new risk while trying to move faster. In procure-to-pay, the use cases are real so pay attention: requisition triage, supplier onboarding, invoice processing, contract compliance, payment optimization. But the buying decision will come down to trust. A strong demo may get attention but it the clear explanation of controls, exceptions, auditability and implementation realities will win the serious conversations. So before your next procurement pitch, ask yourself…Are you selling speed, or are you proving trust?

Procurement teams are being measured against a business environment that now runs on “instant.” That does not mean every purchase should move without review. Definitely, the old cycle times are becoming harder to defend. Let’s say, vendor onboarding takes 30 to 60 days, or requisitions sit for a week before they become approved purchase orders, the issue is not just administrative delay…It becomes a program delay, a supplier relationship issue and, in government, a service delivery issue. And this is where AI and automation get interesting. Not as a replacement for procurement judgment, but as a way to remove the drag around intake, approvals, onboarding, invoice handling and compliance checks. Mark my words, the agencies and companies that get this right will not be the ones that automate the most tasks. They will be the ones that know exactly where speed helps, where controls still matter and where human review needs to stay in the process. Do you know where human judgement is needed and where better process is needed?

Every new supplier your procurement team brings on board requires the same repetitive steps. Collect documents. Verify details. Update the system. Send confirmation emails. Chase missing information. For most SMEs, this takes 2–3 weeks per vendor. Not because it's complex. Because it's manual. A mid-sized packaging distributor we worked with was onboarding 8–10 new vendors every month. Their ops team was spending nearly 12 hours per vendor just on admin coordination. We built a simple AI workflow agent that: → Collects vendor documents automatically via a form trigger → Validates the data against their internal requirements → Flags missing information back to the vendor without human intervention → Updates the procurement system once everything checks out Result: Onboarding time dropped from 18 days to 6 days per vendor. The ops team didn't disappear. They just stopped being a human router for documents. This is the kind of automation that doesn't make headlines. But it quietly saves hundreds of hours a year. If you run procurement or supply chain ops — how long does vendor onboarding actually take your team right now? #SMEAutomation #ProcurementAutomation #WorkflowAutomation #AgenticAI #YellowTuskerai

Procurement processes are designed to give organizations greater control over spending. But when those controls create unnecessary delays, they can quickly become a source of frustration for the business. Purchase requests move through multiple checks, approval thresholds, and policies before a purchase can move forward. While these controls are essential, not every request requires the same level of scrutiny or manual intervention. The real opportunity lies in knowing where human attention is actually needed. In this CFO Byte, Jon Naseath, COO of LeanLaw - Legal Billing Software, shares his perspective on how AI can act as an initial layer of intelligence in the purchase request process, helping organizations identify potential issues earlier and create a faster path from request to approval. Hyperbots Procurement Co-Pilot brings greater accuracy and control to procurement workflows through AI-powered validation, anomaly detection, and mathematical checks with clear explanations for every outcome. It provides flexible approval workflows that can be customised by business unit, category, or cost center, helping organizations maintain control and compliance without any unnecessary complexity. The result is a faster, more controlled procurement workflow that helps finance teams maintain spending oversight without slowing down the business. #Hyperbots #CFOByte #ProcurementAutomation #FinanceTransformation #SpendManagement #PRApprovals #PRValidation

Finance and procurement teams often carry a workload that stays invisible until it starts slowing everything down. Approval follow-ups. Purchase requests. Sheet updates. Reminder emails. Escalations. Record syncing. These tasks are necessary for control, but they should not consume the time of teams that are meant to focus on decisions, cost visibility, vendor performance, and business priorities. Veracity AI builds n8n automations that help finance and procurement workflows move end-to-end. Requests can be routed automatically, approvals can be escalated on time, reminders can be triggered without manual follow-up, and records can stay synced across the tools your team already uses. The result is less operational drag, stronger process control, and more time for the work that actually requires human judgment. The German Buyer, #part1. Four years. Same department, different animal. Procurement used to mean price negotiations and PO approvals. Not anymore. In four years it moved from operational buying to procurement excellence as a core part of how the company steers itself. Controlling made that possible. Two functions that used to sit in separate worlds — negotiation on one side, numbers on the other — now run on shared metrics, shared forecasts, shared accountability for cost impact. Supplier strategy, contract models, make-or-buy calls: decided jointly, data first, no more silo thinking. Automation did the rest. PO processing, invoice checks, catalog management, simple tenders — mostly automated now. AI systems handle demand forecasting, contract analysis, supplier risk scoring, and portfolio-level contract review at a speed and depth no team could match manually. Here's the part worth saying out loud: none of this cost jobs. Not one. The time freed up from repetitive standard tasks went straight into what machines still can't do — strategic supplier development, tough contract negotiations, risk management in volatile markets, and relentless optimization of running costs. That's the real payoff. Not headcount reduction. Capability shift. Buyers turned into analysts, negotiators, process owners — making faster, better-informed, further-reaching decisions with AI tools in hand. And procurement usually drives the rollout itself: defining requirements, testing use cases, making sure automation lands where it actually saves time and money instead of adding complexity. Four years later: procurement isn't smaller. It's more valuable. A team that doesn't just manage running costs but actively cuts and optimizes them, because it's finally free to focus on the work where judgment, negotiation skill, and strategic thinking make the difference. Procurement excellence stopped being a buzzword. It's daily practice now: automation as the tool, people as the decision-makers, controlling as the foundation — all pointed at one goal, cutting cost sustainably without hollowing out the department. The next four years will show how far this goes. One thing's already certain: the procurement function of the future thinks strategically, works on data, and stays unmistakably human. #TheGermanBuyer #Procurement #ProcurementExcellence #Automation #AI #Controlling #Transformation #CostOptimization

The Manual Work Problem: Every procurement team I’ve worked with shares a similar story: someone spends three hours a week chasing invoice mismatches, while another manually re-keys vendor data between incompatible systems. None of this work adds value; it simply has to be done. AI is finally advanced enough to automate this kind of repetitive matching and data entry. It won’t replace the procurement professional, but it will free them up to focus on the work that truly requires judgement: negotiating, managing relationships and thinking through risk. Twenty-five years in this field have taught me one thing: procurement was never short on smart people; it was short on time. What’s the one manual task in your procurement process you’d love to delegate tomorrow? #Procurement #ProcurementTransformation #AIinProcurement #SupplyChain #ProcureToPay #DigitalTransformation
