Better users do this instead: - Start broad - Refine with context (“Act as a hiring manager in KL…”) - Layer on a second task (“Now turn it into a 2-slide summary”) - Rerun the whole flow with a second AI for polish (like Gamma or Canva) Example: I watched a team generate a client-ready PPA proposal in 20 minutes. Prompt > Calculate > Visualize > Polish > Send. 2. Automate meetings after they happen Everyone talks about scheduling. Few talk about what happens next. Use Otter.ai to - Auto-summarize meeting notes - Extract action items - Feed them into your project board or CRM That alone saved one client 3+ hours/week. 3. Use NotebookLM + ChatGPT for deep analysis. Not just surface answers - Instead of asking ChatGPT random questions, upload your internal reports into NotebookLM. Then try prompts like: “Summarize the 3 biggest customer complaints in this doc” “What are we not saying that our competitors are?” You’ll get insights your team missed, in seconds. Ask: If I only do one thing today, what will matter most? 🤖 AI prompt: “Here’s my to-do list: [paste list]. Please organize these using the Eisenhower Matrix—urgent vs. important—and suggest which I should do, delegate, defer, or delete.” 2️⃣ Use AI on the $10 task so you can focus on the $10K task If it’s low-impact or repetitive, delegate it to AI. Help me find 3 time blocks for deep work. Here’s how I am using to AI to improve productivity of day-to-day tasks as a Product Manager. Our lives as Product managers is a mixture of chaos, ambiguity and thousands of pending chats and emails. Discovering AI tools giving them enough context and to keep exploring ways AI can help becomes a task sometimes rather than easing our tasks. Some effective ways⬇️⬇️ 1. Custom GPT for writing user stories We write JIRAs daily as a part of our job, and you know how important it is for the ticket to contain the problem statement, ask and dependencies all layer out clearly. Trained a custom gpt-> I just have to give requirements and it writes down user stories for me. 2. Atlassian rovo agent for reviewing JIRAs A couple of tickets gets assigned to PMs on a daily basis, to save time spent I just ask the inbuilt Rovo agent to answer the two prompt: - Summarise the issue happening on the JIRA for me - Analayse all comments to identify next set of steps 3. Sending follow ups and meeting summaries I generally record my Microsoft meeting, download transcript. Part of becoming an AI-powered organization is ensuring these tools are integrated into everyone’s daily routine. 3 — Organize Structured Training Set up a comprehensive training program that teaches your employees how to work effectively with these tools. Focus on prompt engineering, real use cases, and practical examples. Just as important, provide clear guidelines on what not to do—such as entering sensitive IP or customer/employee information—to ensure proper usage and avoid risks. There’s a lot of FOMO out there, and many companies are rushing to figure out how to implement AI projects. But a prerequisite to all of this is having your workforce turbocharged and powered by AI assistants. Whether or not you end up building your own AI-powered features, this will help boost your team’s overall productivity. It will also build the familiarity and intuition your team will need for working with AI-powered services—or vendors who are leveraging this technology. All in all, it’s a win-win: a low-effort, low-cost, easy way to get started with AI adoption and transformation.
