Over the past few months, we've been rolling out Claude company-wide at Bizzabo. It became very clear, very fast, that this thing could go wild and crazy without some context and guardrails. So one of my first priorities was building the Bizzabo "Brain", company-wide knowledge about who we are. I tried to find posts here on LinkedIn or something from a PMM community on how to actually structure this dang thing. Plenty of people are doing this, but it seems like almost nobody is sharing how. So here I am! 👋 We started with a webinar from Insight Partners (our investment group) on building a context layer. That was super helpful for benchmarking what information should even go in the brain. Then, Rachael Coppola, Lauren Sorenson, and I pulled everything together from across our decks and docs and turned it into something Claude could actually use. Our version of the Bizzabo Brain is essentially one big skill made up of several reference files (pictured below). One master file acts as the index. It points Claude to seven reference files: company identity, ICP, product overview, brand voice, terminology, message pillars, and proof points. Each file lists its "related files," so the skill only pulls in what's actually relevant to the task. Product overview and message pillars, for example, are related. That's how we avoid burning through tokens on information Claude doesn't need. Each file also has an owner. A named person, not "marketing." Plus a built-in update cadence, so none of it goes stale. Who knows? Maybe one day, we'll repackage this into a plugin, or we'll do something even more developer-y with GitHub. But for now, this is working really well. Next up: building the marketing-specific layer for our team!

At Bizzabo, we've been all in on AI for a while now. Bizzy AI was the first proof point. But we didn't stop at the product. Last month, every employee at Bizzabo went through the AI Transformation program, a company-wide Claude training built to make AI fluency a real, hands-on skill for everyone here, not just the teams building it into our tools. The program ran across several weeks, taught by our own solutions team, Clark Hager and Kevin O'Brien, with the whole thing designed by our internal AI Squad, Ohad Krakovsky, Boaz Katz, and Emily Young. Every cohort went through the same arc: identify your most time-consuming tasks, build a real Claude workflow around one of them, then use it daily and demo it to the team. We required everyone to attend sessions and gave them homework, making it closer to a real curriculum than a one-off workshop. On the GTM side, the results speak for themselves: a business case deck built and used live on a customer call, saving 90 minutes of prep; event attendee list and outreach workflows that cut days down to hours; a deal-risk scorer flagging at-risk opportunities straight from call transcripts and CRM notes. We didn't let it stay individual either. We shared what we built in a dedicated channel, tracked adoption on a team leaderboard, and called out standout work at all-hands. The design plugin is a good example of why that mattered. Our Creative Director, Nina Lucey, built Bizzabo-specific skills for brand docs, decks, and one-pagers, one of the program's biggest ripple effects, letting every team put together on-brand, ready-to-use content in minutes and freeing design to focus on work that needs a human eye. And this week, marketing, Rachael Coppola, Katie (Baird) Noe, and Lauren Sorenson, shipped the Bizzabo Org Context that gives Claude our brand voice, identity, ICP, product overview, messaging pillars, and terminology, so Claude already knows who we are before drafting anything. No more re-uploading context or vague, website-level guesses. Several weeks in, 17 early wins have been logged, with real time saved, and that number is still climbing. This is less about individual time saved and more about what happens when a whole org gets fluent in the same tool at the same time: less back-and-forth between teams, faster turnaround on requests that used to sit in a queue, and more headspace for the work that really needs a person in the room. If you're thinking about running programs like this at your company, a few things I'd take from this: skip the optional workshop model and build real work hours into people's calendars. Track who's actually using it and make that visible. Create a moment for people to share what they made, because that's what turns individual wins into a shift in how the whole company works.
