  • Most DAM metadata fails for the same reason: teams try to capture everything. If you ask users to fill 40 fields at upload, they'll complete 10 and guess on three, eroding the quality of the whole library. It's ineffective on two fronts: the process is overwhelming for humans, and the schema is built around classification categories instead of business outcomes. The shifts that make metadata hold up at scale: every field has to earn its place by serving at least one measurable outcome, and AI should enrich metadata at ingest by suggesting tags and descriptions for completeness and consistency. There are five outcomes worth designing around: 1. Discovery: Can people actually find the asset? 2. Governance: Is it safe to use in terms of rights and compliance? 3. Reuse: Does it connect to future work so nobody rebuilds what already exists? 4. Automation & intelligence: Can workflows and AI act on it? 5. Orchestration: Does it route content through review, approval, and distribution? A few things that separate metadata that scales from metadata that degrades over time: ▪ High-value fields like rights status, approval status, and expiration date need controlled vocabularies. Enforced dropdowns, not free-text tags. Consistency is what makes a field usable at scale. ▪ Retire fields as you add them. Metadata bloat is a slow failure that compounds in the background. ▪ Low quality metadata hampers AI readiness. No model can reliably tell you what's approved, what's rights-cleared, or what's expired without reliable metadata underneath it. The payoff is measurable: Gartner projects that by 2027, organizations with active metadata management will deliver new data assets up to 70% faster than those without it.   • Most teams evaluating a DAM are asking the wrong question. They line up feature checklists and compare libraries. But the problem they're actually feeling isn't "where do our assets live?" It's "why does the work around our assets keep breaking?" That's the line between two different things: - DAM manages assets. Where they're stored, how they're tagged, who can access them. - Content orchestration, which manages the work around them. Intake, metadata, workflow routing, rights validation, localization, distribution, reporting, reuse. The full lifecycle, connected. Why it matters: - 84% of marketing leaders report high collaboration drag (Gartner, 2024): the manual handoffs, inconsistent metadata, and reactive governance that a static library can't fix. - Those same teams are 37% less likely to hit revenue and profit targets (Gartner, 2024). Fragmentation drags teams and critical business outcomes alike. - Only 7% of enterprises say their data is fully ready for AI (HBR/Cloudera, 2026). AI needs governed context to deliver the efficiencies it promises: rights, approvals, workflow status, and performance signals that stay connected to the asset. Three questions cut through the noise: 1. Do you mainly need to govern assets? A DAM covers it. 2. Do you need to coordinate work across teams and stages? That's content orchestration. 3.     Your digital asset management platform can set your organization up for success today and tomorrow, but only if you know how things are changing. Our CEO, Brian McLaughlin, sat down with DAM NEWS to share what you need to know now if you’re keeping up with the space: 1. DAM is shifting from passive storage to an active layer. The old model treated DAM as a library: a place to file things away. The shift underway treats DAM as infrastructure that connects content directly to business outcomes. Put another way, it’s not just where content lives, but how it gets used. 2. Governance can't be bolted on after the fact. In Brian's experience, the biggest gaps in enterprise content operations happen when teams assume someone else owns risk. For example, Marketing assumes IT has it, IT assumes legal has it. Governance only holds up when it's built into the workflow from day one, not added as an afterthought. 3. Outcomes should drive the technology, not the other way around. Brian's view, shaped by 25 years on both sides of DAM (as a user and now as an industry leader): a capability only earns its place if it measurably improves efficiency, governance, collaboration, or content performance.     Last week the New York Philharmonic launched the rebuilt Shelby White & Leon Levy Digital Archives -- the culmination of a project I've been helping lead since 2021. Visit --> https://lnkd.in/eAZzBn7c What began with implementing OrangeDAM (formerly Cortex) as our internal DAM evolved into a complete modernization of the public Digital Archives, made possible through a five-year National Endowment for the Humanities grant with matching support from the LEON LEVY FOUNDATION. Over the past four years, I've worked on digital object migration, metadata remediation, custom browse and search experiences, metadata display design, and countless behind-the-scenes configurations as a SuperAdmin, working closely with Orange Logic and colleagues across the organization. The result is a more powerful, flexible, and sustainable platform that makes millions of pages of New York Philharmonic history more accessible to researchers, musicians, and the public.
