"What times work for you next week?" "How about Tuesday at 2?" "That doesn't work. Wednesday?" "Wednesday morning is good. 10 or 11?" "Let's do 10. Wait — actually I have a conflict. Thursday?" Five emails to schedule one meeting. This is a solved problem. It's been solved for years. And yet most solo lawyers are still doing it the hard way. Calendly lets you set your available times, send someone a link, and they pick a slot. Done. One email. Meeting booked. Calendar updated. Reminder sent automatically. It handles time zones. It prevents double-booking. It integrates with Zoom so the meeting link is created automatically. I know what some of you are thinking: "Isn't it rude to send someone a scheduling link?" No. It's respectful of both your time and theirs. The five-email dance isn't politeness — it's inefficiency disguised as courtesy. At about $100/year, the ROI is absurd. If it saves you one hour of back-and-forth scheduling per week, that's 50+ hours a year. What would you do with 50 extra hours? If you're a solo lawyer without automated scheduling, this should be the next thing you set up. It takes about 20 minutes.

Think scheduling is a hassle? Meet your new best friend: the calendar link. Why is this important? Let's face it: finding the right time to connect with someone can be a nightmare. But with a simple calendar link, magic happens! Here's how it works: 1. Set up a free account using tools like Calendly. Sync it with your favorite platforms like Google Meet or Zoom. 2. Embed it: Add the link to your LinkedIn profile and messages. It ensures your scheduling process is smooth and professional. 3. Invite to connect: Send a friendly message. Emphasize, "I'm not asking for a job or selling anything." This relieves pressure and opens doors. 4. Schedule without stress: Let them choose a time. It's efficient and eliminates the back-and-forth of emails. But why does this method work so well? People appreciate directness. By offering a calendar link, you provide control and respect their time. This approach often leads to more open conversations. As a career consultant, I've turned countless LinkedIn connections into valuable discussions using this technique. It's all about building genuine relationships. DAY 2 of 15-Days Content Challenge with The Virtual Assistant Hub (TVAH TRIBE) . Theme: The Power of the Hour A few months ago, I learned something that completely changed how I work as a Virtual Assistant: If you don’t control your time, your time will control you. Let me tell you why this matters so much. Back when I first started freelancing, I lost a client simply because of scheduling confusion. We had gone back and forth over email for three days, trying to find a time to meet. By the time we finally agreed, they had already hired someone else who was ready and organized. That was my wake-up call. Here’s the truth: If you’re a Virtual Assistant and you don’t know how to manage your time, set up your calendars, and make it easy for people to book a meeting with you, you’re likely to lose opportunities. Why? Because clients want smooth, fast, and stress-free communication. They want to click one link, see your availability, book, and be done. That’s why calendaring isn’t “just a tool”, it’s your professional lifeline. Why calendaring is important It shows clients you’re organized and reliable. It removes endless back-and-forth emails. It prevents double bookings and missed meetings. It saves you HOURS each week. It allows clients in different time zones to book without confusion. It makes you look like the professional you are — even before you say a word. The Problem Most business owners (and even some new VAs) waste valuable time scheduling meetings manually. It’s frustrating, messy, and sometimes costly. The Solution — Calendly Calendly is my go-to for making scheduling effortless. Here’s how I use it for myself and my clients: 1. Set availability — Choose the exact days and times you’re open for meetings. 2. Create meeting types — 15-min quick chats, 30-min discovery calls, 1-hour sessions. 3. Sync with calendars — Connect Google, Outlook, or iCal so nothing clashes. 4. Integrate with tools — Zoom, Teams, Meet… so links are auto-generated. 5. Share your link everywhere — LinkedIn profile, email signature, website, even in DMs. The Results With one client, adding Calendly reduced back-and-forth emails by 90%, eliminated scheduling conflicts completely, and freed up 5+ hours every week. Even better, her booking rate for new clients jumped by 40% — just because it was easier to schedule. If you’re a Virtual Assistant reading this and thinking, “I don’t know how to set up my calendar properly” — then this post is for you. To business owners, Time is your currency, and I can help you invest it wisely. Because when every minute counts, I make every minute matter. Send me a DM, and let’s get your calendar working for you. #TVAHTribe #15DaysChallenge #ThePowerOfTheHour #Calendly #TimeManagement #SchedulingTools #ExecutiveVA

The Ultimate Scheduling Hack to Streamline Your VA Workflow Was it just me or is managing your own schedule as a VA feeling like herding cats. Between client calls, project deadlines, and personal time, it’s easy to feel overwhelmed. But here’s my little secret: Automate your availability and give clients the power to book themselves. Here’s How to Make Scheduling a Breeze: 1. Use an Automated Booking Tool Tools like Calendly, Acuity, or Doodle let clients book a time that works for them based on your preset availability. No more back-and-forth emails, just one link. 2. Set Clear Time Blocks Dedicate specific days or hours for client meetings, and make that clear in your booking settings. Maybe it’s Tuesdays and Thursdays from 10-2. Consistency keeps you from scrambling. 3. Sync Your Calendars Whether it’s Google Calendar, Outlook, or Apple, make sure all your calendars sync with your booking tool. No double-booking, no stress. Why This Works: Clients appreciate the simplicity and efficiency of booking themselves. You maintain control over your schedule without the constant negotiation. Plus, it sets a professional tone from the start. And because I said so, no JK.. VA OG Tip: Add a buffer time between appointments (like 15 minutes) to breathe, reset, and prepare for the next call or make notes. It keeps you from feeling rushed and gives you a mental break. Stop letting your calendar control you. Automate don’t procrastinate! Ready for more life-saving hacks? Follow me for more VA tips! Monica ✌🏼❤️

STOP sending Calendly links. START pasting your actual availability into emails. I know it sounds small, but this one change took my booking rate to 80-100%... Here's what I do: I click the Calendly Chrome extension, grab my next 5 days of availability, and paste the time slots directly into the email body. The prospect sees my availability right there. They click a time. It auto-books. DONE. No extra tab to open. No "let me find a time that works." Just one click and we're on the calendar. Why does this work so well? - It's respectful. You're not making them do extra work. - It's visual. They see your availability immediately instead of having to hunt for it. It's frictionless. One click vs. three or four. — The results speak for themselves. My booking rate went through the roof when I made this switch. If you're using Calendly, grab the Chrome extension. If you're on Outreach or SalesLoft, check if your stack supports inline availability. The easier you make it for prospects to say yes, the more often they will. P.S. What scheduling tricks are working for you right now? Always eager for more :)
